Food Vendor Concession Contract

The parties to this contract are: New Glarus Chamber of Commerce “HOST” And party completing this applicationVENDOR” 

The New Glarus Chamber of Commerce is again hosting an event known as BBC (Beer, Bacon & Cheese) in Downtown New Glarus on Saturday, June 14th, 2025, beginning at 1:00 PM and ending at 5:00 PM. Attendees will be able to sample beer, meat, and cheese from over 40 vendors. This contract is for food vendor space at the event. This event will run in conjunction with New Glarus Polkafest. This event will take place rain or shine.  

  • Booth Set-up starts at 11:00 AM on Saturday, June 14th. Please have your booth ready to go by no later than 12:30 PM.  

  • Limited spaces with electricity are available. Those booths will be on a first come, first serve basis.  

  • HOST will provide a 10x10 tent space and one 8’ table. You must provide your own signage, chairs, napkins, ice, serving utensils & etc. as needed. If you will be bringing your own branded tent, please make note in the signup sheet below. Vendor can bring own tent and will be reminded by host. If vendor doesn’t have tent on day of the event, host cannot guarantee a tent.

  • VENDOR will be assigned a specific vendor space, which you will receive notice of via email before the event. Vendors are required to work from that assigned space; if vendors are not present at their assigned space, they may not be invited to participate in future events and will not receive payment from HOST.  

  • No fee for the booth. VENDOR will provide 2000 free samples of goods to customers. VENDOR may also sell t-shirts and other goods that day, as well as provide free promotional materials to attendees. Please list on contract below any items for sale. You will be reimbursed up to $500 after the event. Invoices must be submitted by mail or email no later than July 7, 2025, and your check will be mailed within 10 business days of receiving invoice. Event staff are unable to accept invoices during the event. 

  • VENDOR shall not vend any goods or services other than those described in the contract. 

  • Booth Tear-down: You may begin taking your booth down at 5:00 PM and no sooner. You are responsible for the cleanup of your area, as well as the litter and refuse. Please bring garbage bags. If your area is not cleaned up adequately, you may not be eligible to return in future years. A dumpster will be available for trash disposal. 

  • If grilling or cooking meat, please plan for proper grease disposal and place cardboard on the ground to soak up spills. No grease may be poured down storm drains or poured into dumpster. If you have questions about grease handling, please contact info@swisstown.com. 

  • Wristbands will be sold and are required to be worn by event attendees. No samples can be handed out to anyone not wearing a wristband.  

  • Wristbands will be provided for each vendor and their staff. Please provide number of wristbands not to exceed 4 total. If you wish to purchase more wristbands for staff working the event, they will be $60 each, and must be reserved and paid for by Friday, May 2rd, 2025. 

  • VENDOR will have a fire extinguisher in good working order at their assigned spaces. The New Glarus Fire Department recommends a 10 pound ABC dry chemical extinguisher. If you have questions about extinguishers, please contact them at ngfd@newglarusfd.com

  • This event happens rain or shine. Any decision to cancel/reschedule will take into consideration the recommendations of Green County Public Health and the Village of New Glarus.  

  • Sign and return contract by Monday, April 25th, 2025. Please send Certificate of Insurance with contract. You will be notified about whether you have been accepted to participate by Friday, May 2nd

  • VENDOR hereby agrees to indemnify and hold harmless HOST against any damages or claims that may arise in connection with the Vendor’s presence at the event and Vendor’s activities of any kind.
